One week to see everything working.
We handle the setup. You watch it work live. Your team goes live only when you're confident — and you can roll back in under a minute at any point.
Day by day, step by step.
Every pharmacy pilot follows the same structure. Here is exactly what happens at each stage — and who handles it.
Setup — handled by our team.
Before the demo call, Pharmin prepares everything. You don't need to do anything at this stage.
- WhatsApp Business number provisioned and verified under your pharmacy name
- Call forwarding tested end-to-end — your number to Pharmin to pharmacist redirect
- Dashboard accounts created for any pharmacy staff who will action patient tasks
- Escalation contacts exchanged: your on-call pharmacist and Pharmin support
- Consent wording reviewed and agreed for your patient communications
See it working on a live call.
We run a remote session where we make live test calls in front of you. Nothing is pre-recorded. You watch the full chain — the call handled, the WhatsApp the patient receives, and how it lands in the dashboard.
- Three scripted demo calls covering the full range: routine query, repeat prescription request, and a clinical escalation to a pharmacist
- Each call shows the complete flow: AI response, patient WhatsApp message, and dashboard entry
- You see exactly what your team will see from day one — including how escalations reach the pharmacist
- Questions answered in real time before any commitment to go-live
A short session. A leave-behind sheet.
Most pharmacies need very little training. The dashboard is built for clinical staff who aren't technical — actions are minimal and the flow is straightforward.
- 30–45 minute session covering dashboard basics: reading conversations, actioning tasks, marking queries as resolved
- Quick-reference card printed or sent digitally — one page covering the five most common actions, kept at the dispensary desk
- Any edge cases or process questions logged and resolved before go-live, with Pharmin support on call
- Only staff who action patient tasks need any training — reception staff are unaffected until Day 3
Phones forward. Patients reach you as normal.
On go-live day, your existing phone number is forwarded to the Pharmin line. Patients dial the same number they always have — they don't notice any change.
- Forwarding switched on — your number routes to Pharmin. Calls are answered, handled, and logged from this point.
- Redirect number active — patients who need to speak with a pharmacist directly are routed back to your team instantly, using a dedicated number displayed in every automated message
- Rollback documented and ready — your original call forwarding is on file and reversible in under a minute if anything unexpected happens
We watch everything. You have a daily check-in.
During the first full days of live operation, Pharmin staff actively monitor all four signal areas. Nothing is left to automated alerts alone.
Volume answered, queries resolved without escalation, and average handling time — flagged if anything looks unusual
WhatsApp delivery rates and open confirmations for every patient message sent during the pilot window
Queue depth and response time for tasks assigned to your pharmacy staff — flagged if the queue builds up
Rate and resolution time for queries passed to the pharmacist — the most important signal in the first week
Patient services begin — for consented patients only.
As patients give consent — in-store during collection and via WhatsApp opt-in — they become eligible to receive proactive service updates. Coverage grows gradually over 2–3 months. There is no big-bang broadcast; only consented patients ever receive a message.
- Consent is captured in-store (paper or screen sign-off at the counter) and via a WhatsApp opt-in prompt
- Each service category (prescription updates, appointment reminders, health check eligibility) requires separate, explicit opt-in
- Patients can stop any category at any time by replying STOP — the list self-maintains
- Full coverage typically reached within 2–3 months of go-live as patient footfall turns over
The pilot has a finish line.
A pilot without a defined review point is just a permanent change that nobody agreed to. We schedule the Week 6 review before Day 1, so both sides know what success looks like from the start.
- 60-minute review session: call volume, task handling, patient opt-in rate, escalation rate, team feedback
- Results measured against the success criteria agreed before go-live — no moving of the goalposts
- Clear output: continue as-is, adjust configuration, or expand to additional services
- Full pilot report shared with your team — suitable for passing to a practice manager or superintendent pharmacist
Three calls that show the full picture.
On demo day we run three live test calls on the remote session — no recordings, no screenshots. Each covers a different scenario your team will actually encounter, from the most routine to the most sensitive.
Routine query — handled end-to-end
Caller asks something the AI can resolve completely: opening hours, whether a service is available, or a general prescription status question.
Repeat prescription — task for the pharmacist
Caller requests a repeat of their regular medication. The AI captures the request and creates a task for your team to process.
Clinical question — safe escalation to pharmacist
Caller asks about a side effect, an interaction, or a clinical concern. The AI recognises it is outside its scope and routes to a pharmacist immediately.
Services for eligible, consented patients.
Once consent coverage is established, your pharmacy can begin proactive outreach to eligible patients — sending the right update to the right person at the right time, with no manual effort from your team.
Prescription ready
Notify patients automatically when their prescription is ready for collection — reducing counter queues and repeat phone calls.
Vaccination eligibility
Reach eligible patients ahead of flu, COVID-19 and travel vaccination seasons with booking prompts sent directly to their phone.
Medication review invitations
Invite patients on complex or long-term regimens for a structured medication review — a reimbursable clinical service in Ireland.
Repeat prescription reminders
Alert patients before their supply runs low, reducing emergency requests and last-minute dispensing pressure on your team.
Health check appointments
Book blood pressure checks, cholesterol screens and other in-pharmacy health checks via WhatsApp — service administration only, fully compliant.
Adherence support
Follow up with patients on long-term medications to check they're managing their regimen — an appointment-based service, not clinical advice.
All services operate on category-specific, explicit opt-in. Patients consent to each service type separately and can stop at any time by replying STOP. No patient is ever contacted for a service they have not opted in to.
